Check-List for How to Bulk Upload Student Pictures

  1. Open up the device folder (CD/flash drive/online storage) provided by the photographer and navigate to the folder with student photos. Take a second to make sure that all the photos have student numbers.
  2. In your browser, log into your school’s Dropbox account (provided by your school administrator or office manager) and click “Upload”.
  3. In the window that opens up, select all photos from the device and click “Open”.
  4. Log into QuickSchools and open up the Students module. Click “Import” at the top.
  5. Start importing!
    1. Click “Start bulk upload of student photos” within the subsection, “Or: Bulk Upload Students”. Click "Choose from Dropbox", this will open up a window with your Dropbox account.
    2. Highlight one or two students for the first import and click “Choose”. This will take you back into QuickSchools.
    3. Click “Start Bulk Upload” and then “Ok”. (There’s no need to use the “Select Student” links, as having the files named using student numbers will mean that they automatically match to the student record in QuickSchools.) This will take you back into the main Students page.
    4. Wait a moment for the import to run (it should likely take 10 seconds or less) and then refresh the page.
    5. Double-check these two students for quality assurance. Assuming they match, move on to step 6.
  6. Import all student photos.
    1. Within the Students module, click “Import” again. Now, again, click “Start bulk upload of students” within the subsection, “Or: Bulk Upload Students”. This will open up a window with your Dropbox account.
    2. Highlight all student photos in your Dropbox account. Select “Choose”.
    3. Click “Start Bulk Upload” and then “Ok”. (Again, no need to use the “Select Student” links.) This will take you back into the main Students page.
    4. Wait a moment for the import to run (it should likely take 10 seconds or less) and then refresh the page.

It’s a good idea once you’ve done this process to make a quick visual scan of all the beautiful new photos and ensure that the student names match them.

Troubleshooting Note: if after importing there are any students missing photos in QuickSchools, it’s likely that those students' photos weren’t given the correct student numbers as the file names originally. To fix this, simply do another bulk import of student photos and manually select the photos for the missing students in Dropbox and click “Choose”. Now, use the “Select Student” link to manually match these photos to the correct students.
