Setting General Fee Tracking Preferences

Fee Tracking preferences give you control over who can manage charges and payments, create fee categories, and who can run reports. From Fee Tracking preferences you can also enable and disable online payments and family billing.

  1. From the top of the page, click SETTINGS > TURN FEATURES ON/OFF.Turn_Features_On_Off.png
  2. Go to the row that says School Fees Tracking.School_Fees_Tracking.png
  3. Click Configure to open the School Fees Tracking dialog box.
  4. Set the following options:
    Select users who will manage bills and collections Select the names of faculty members from the interactive list who can add new charges, record payments, and generate invoices.
    Enable fees tracking in parent portal / student portal Check this item to enable Bills tab in the student record for parents and students to see when logged on to their accounts.
    Enable each charge/payment to be associated with a category Check this item to enable charge and payment categories. From the interactive list, select the names of faculty members who can add new categories. For more information about categories, see Introduction to Fee Categories.
    Turn on family billing Check this option to enable family billing. For more information about family billing, see Introduction to Family Billing.
    Turn on fee deadlines & payment allocations Check this option to enabe Due dates when adding charges. Payments need to be allocated to specific fees.
    Turn on online payments in the parent portal / student portal Check this item to enable parents/students to pay from their portal accounts via credit card.
    Select users who will be able to manage & view payments made by parents/students From the interactive list, select the names of faculty members who can manage and view online payments. For more information about online payments, see Introduction to Online Payments.
    Parents/students will pay the transaction fees If Online Payments is enabled, QuickSchools will charge an additional 1% per transaction over Stripe's fees, for a total of 3.9% + 30 cents per transaction. These additional charges will be added to parents/students if they pay via portal.
    Select users who can run reports Select the names of faculty members from the interactive list who can run charge and payment reports.
    Currency Symbol Enter the currency symbol you want to use for your records. The currency symbol you enter here is automatically added to all table columns displaying currency and in generated invoices and reports.
  5. Click Save to save your changes or Cancel to go back to the Features page without saving your changes.
